Small-business website recurring cost worksheet

Estimate recurring domain, hosting or builder, email, payment processing and optional website costs from your own prices and sales assumptions.

Build a recurring website budget for one small business site. Enter prices in one currency and choose monthly equivalents for annual or prepaid services. This worksheet keeps payment processing as a separate variable cost, because it depends on your sales volume and provider's fee schedule.

Enter recurring costs and payment assumptions

Enter all eight values in one currency. Use 0 for a category or payment volume that does not apply.

Calculation method and limits

The worksheet converts annual domain renewal into a monthly equivalent, adds your hosting or builder, email, and optional monthly costs, then estimates payment fees from your entered successful transaction count and average payment. It reports itemized monthly estimates and a 12-month total. The transaction estimate is percentage fee × entered sales plus fixed fee × successful payments.

This is a planning scenario, not a quote or accounting/tax advice. Processing fees may vary by country, card type, payment method, currency conversion, refunds, disputes, negotiated pricing, and other conditions. A platform may combine hosting, email, or transaction fees differently, so avoid counting the same service twice. The model excludes taxes, one-time setup and redesign, labor, inventory, advertising, financing, chargebacks, refunds, and price changes. For an annual or prepaid plan, dividing by 12 shows an average budget amount; it does not predict the amount due at checkout.

The US Small Business Administration advises estimating costs based on the business and including expenses that do not recur monthly by assigning a monthly share. Its startup-cost guidance includes making a website as a potential expense; this worksheet focuses on recurring costs and lets you add an optional monthly allowance for services or maintenance.

As one country- and payment-specific example, Stripe's US standard pricing page lists 2.9% + $0.30 per successful domestic-card transaction for online payments. The percentage and fixed fee fields are editable so you can use the current pricing that applies to your account. Do not use this example as a universal or guaranteed rate.

How it works

Enter annual domain renewal, monthly hosting or builder cost, monthly email and optional services, then estimate payment volume and provider fees. Use one currency and enter zero for categories that do not apply. The worksheet estimates a monthly budget and 12-month total.

Good to know

How are payment processing costs estimated?

The worksheet multiplies your assumed successful card payments by the average transaction amount and percentage fee, then adds the fixed fee per successful payment. Enter the applicable current rate for your provider, country and payment method. Stripe's US standard online domestic-card price is one dated example, not a universal rate.

Can I use this for prepaid annual plans?

Yes, enter the annual amount divided by 12 as a monthly equivalent and keep the currency consistent. The result is an average budget amount, not a forecast of the checkout charge or cash flow.

What costs are excluded?

Taxes, one-time setup or redesign, labor, inventory, advertising, financing, refunds, disputes and future price changes are excluded. Add a monthly allowance for recurring optional services, and avoid counting a bundled service twice.
